A Practical Use For Advanced
Technology
Mobile Technician is a paperless solution for these problems. Built
around Microsoft® .NET Web services, it puts the information that
field technicians need to perform their work into their hands - literally.
Mobile Technician runs on a variety of ruggedized, handheld computers.
Field technicians use Mobile Technician to view their daily schedules,
get dispatched to calls, and record labor and parts as they perform
their tasks. Mobile Technician transmits the data to the Call
Management System (CMS - a component of COINS Ti Service Management)
back at the office, where it is reviewed and then committed to the COINS
database for billing. This eliminates the delay inherent in receiving
and processing paperwork from the technicians and allows quicker, more
automated billing.
When a connection is available, Mobile Technician communicates wirelessly
with CMS. When a connection is not available, the technician can create
a call on the mobile device with information from the dispatcher. All
information on the mobile device and server is queued for automatic
synchronization upon re-connection.

Fast, Accurate Communication
Quickly and accurately communicating new assignments, with all their
details, is essential to field service operations. Mobile Technician
automatically updates the techs schedule with new calls when the
device is connected.
The call information sent to Mobile Technician provides the technician
with the information needed for the visit, such as location, problem
description, and equipment on site. For planned maintenance (PM) calls,
this information also includes the equipment to be serviced, the PM
task list, and a list of required parts.

Stay on Top of a Changing
Schedule
When Mobile Technician is started up at the beginning of the day, it
is loaded with the technicians schedule for the current date plus
scheduled calls from the previous day and the next day. This gives the
technician access to a 3-day range of calls. When CMS sends a new assignment
to the handheld device, a signal sounds until the technician acknowledges
the assignment.

Record Work As It Is Performed
By using Mobile Technician throughout the course of a service call,
the technician can easily capture detailed information about the work
that being performed: the equipment serviced, time spent, parts used,
refrigerant usage, PM tasks completed, and other information. Parts
and labor details may either be associated with specific items of equipment
or tracked at the call level. To make this easier and more accurate,
Mobile Technician supports bar code scanning for equipment and part
numbers.
Mobile Technician also provides a Notes utility, so the technician
can record significant information about the service call before it
is forgotten. This is a convenient way for technicians to let the office
know about additional sales opportunities.
When the service call is complete, the technician can capture the customers
signature right in Mobile Technician, then fax or e-mail a copy of the
signed Service Report to them. (See illustration.)

Fast, Accurate Information
Mobile Technician excels at collecting raw data about service activities
from the technician in the field. Where it far surpasses paper forms
and time sheets that do the same is in getting the data into your enterprise
business system. For example, the technicians review and certify their
time sheets right in Mobile Technician. No more delay in getting service
reports in from the field, no more time-consuming data entry, less potential
for error.
Of course, you wouldnt bill your customers based on raw data.
Mobile Technician integrates with CMS for the online review and approval
of accounting information. Upon approval, CMS updates the COINS database.
Billing may then proceed using the Service Management module.

Integrated with S/M and
Other COINS Modules
Mobile Technician connects to the Call
Management System rather than directly to the COINS database. Once
the information from Mobile Technician has been reviewed and approved
in CMS, it updates the COINS database and is fully accessible to the
Service Management Module and the modules
with which S/M is integrated. If desired, the COINS Payroll
Module can also automatically retrieve payroll time card data from
labor records that originate in Mobile Technician, thus avoiding data
entry. Total integration combined with flexibility and easy menu operation
separate COINS Service Management from the rest of the pack.
